How we handle information on this website.
Privacy
We respect your privacy. This website is intended to provide information about The Wood Family Charitable Trust and how to contact us. The Wood Family Charitable Trust (Scottish Charity No. SC053738) is the data controller for information collected through this site.
Information you provide
If you contact us by email, or apply for a grant through our online application form, we collect the information you provide — such as your organisation’s details, your contact details, and information about your funding request — in order to consider your application and respond to your enquiry. If you give us your organisation’s bank details, we use them only to pay a grant we have awarded. Submissions are stored securely and are only accessible to the Trust’s trustees. We do not sell your personal data and we do not use it for marketing without your consent.
Our online application form uses a proof-of-work check to help prevent automated spam submissions; it does not use cookies or third-party trackers.
Who else processes your data
We use a small number of other organisations to run this site and respond to you, each only for the purpose below:
- Microsoft 365 hosts the mailbox behind info@woodfamilytrust.org.uk, so an email you send us passes through Microsoft’s infrastructure.
- Loqate provides the address look-up as you type an organisation address on the application form.
- Anthropic may be used by a trustee to generate a suggested starting point for a reply to your email — a trustee always reads, edits and sends that reply themselves; nothing is sent back to you automatically.
How long we keep it
We keep grant application, decision and payment records for at least 6 years after the end of the financial year they relate to, in line with the Trust’s accounting and charity-reporting obligations as a registered charity. Other correspondence is kept only as long as necessary for the purpose it was collected.
Your rights
You may request access to personal data we hold about you, ask for corrections, or request deletion where applicable. To make a request, contact us using the details below. If you are unhappy with our response, you can complain to the Information Commissioner’s Office (opens in a new tab).
Cookies
This site sets no analytics or advertising cookies. Signing in as a trustee sets one session cookie, strictly necessary for the sign-in to work.
Third-party content
Links to external websites (such as charities we support) may have their own privacy and cookie policies. We are not responsible for third-party websites.
